Admin support to the Client Success Team

Freelance (16-20 hrs a week over 4-5 days in core business hours)
2nd Sept 2024-29th Nov 2024 with potential to be extended and long term opportunity

Working with the Head of Client Success and the Client Success Manager, this person will be instrumental in streamlining administrative processes, allowing our Client Success, Trainer, and Sales Teams to focus on core client-facing activities and take on more projects with ease. Your responsibilities will include booking travel, managing expenses, coordinating client onboarding, compiling review meeting slides, and handling day-to-day client management tasks. Additionally, you will oversee document and content management, support the Sales Team with various admin tasks, and maintain and update content on our learning platform.

To excel in this role, you should have experience managing busy team diaries and be proficient in Office Suite, including Word, Excel, PowerPoint, Outlook, SharePoint, and MS Teams. You must possess strong initiative, problem-solving skills, and the ability to multitask in a fast-paced environment. An organised, confident, and collaborative approach is essential, along with a proactive can-do mindset.

 

 

  • Book Travel and Logistics – Arrange travel and logistics for trainers, manage expenses, and create detailed itineraries.
  • Manage Central CS Calendar – Send all invites for programmes, including agendas, from a central Client Success calendar.
  • Client Onboarding – Assist with the client onboarding process by collating and sending onboarding documents.
  • Day-to-Day Client Management – Update delegate lists, handle queries, and perform general administrative tasks for clients.
  • Compile Review Meeting Slides – Incorporate feedback, insights, and data per programme into review meeting slides for each client.
  • Document and Content Management – Create and manage delivery meeting slides, agendas and content on our learning platform.
  • Project Management on our learning platform – Oversee the initial setup and ongoing management of projects on our learning platform.
  • Training Feedback Management – Create and manage training feedback surveys and maintain logs of feedback, testimonials, and case studies.
  • Support Sales Team – Assist the Sales Team with various administrative tasks, including contract management and document creation.
  • Experience managing busy team diaries.
  • Ability to manage multiple projects/tasks simultaneously.
  • Strong initiative and problem-solving skills.
  • Attention to detail and multitasking in a fast-paced environment.
  • Structured approach and effective influencing skills.
  • Knowledge of MS Teams, SharePoint, Slack, HubSpot.
  • Experience with Excel and presenting data in chart format.
  • Experience with online training/learning platforms is ideal.

    EA to the CEO

    Purpose: To enable the CEO to be more effective and efficient by taking on the administrative duties that currently sits with the CEO or are delegated out to the rest of the business.

    Responsibilities:

    • Manage and maintain the CEO’s diary and ensure the CEO is fully prepared for all meetings and engagements with meeting notes using Flume’s processes
    • Work across functions to understand the CEO’s priorities and deadlines and ensure these are in his calendar and closely managed to make sure deadlines are met, knowing when to say no or delay meetings based on priorities and capacity.
    • Hold CEO to account on a daily basis, helping prioritise tasks to ensure work is produced and complete in plenty of time and regular reminding of actions.
    • Manage the CEO’s inbox, deleting junk, filing, ensures he sees and actions important emails, fielding out work/emails to rest of team for action/information
    • Capture CEO ideas and work with relevant team members to prioritise ideas and plan relevant ones into a roadmap of business projects
    • Managing CEO’s travel logistics, ensuring cost and time efficiency and providing a detailed schedule for travel
    • Managing and processing business expenses from trips ensuring these are assigned to relevant client projects
    • Schedule and maintain regular meetings with the CEO and direct reports / rest of business
    • Liasing and following up with clients/partners after meetings / training / events that the CEO is involved in
    • Working with outside suppliers, including designers, to help create client-friendly documents to support work CEO is involved in.

     

    Client Success Team Support

    Purpose: To enable the Client Success Team to take on more client projects by reducing the administrative duties that currently sit within this team.

    Responsibilities:

    • Support the CS team with project admin including tracking, feedback, delegate lists and client onboarding
    • Upload and manage video libraries on Call AI and Vimeo for internal use and clients
    • Ad-hoc research and collation of information for suppliers, processes and business efficiencies
    • Creating training feedback surveys and links for the Client Success Manager and maintaining logs of feedback, testimonials, and case studies
    • General admin support including managing trainer’s calendars, updating processes/Trello
    • Support with Mindtickle set-up and updates

     

    Business Support

    Purpose: To support the wider team with requirements

    Responsibilities:

    • Maintain how to guides and central process documents for the business
    • Support with the administration for onboarding new starters
    • Book and manage offsite meetings for internal teams
    • Create a process and system for this and investigate spaces that can be used
    • Arranging team away days

    Skills and experience – required

    • Experience of managing high profile busy diaries and emails
    • Highly proficient in Office Suite – Word, Excel, PP, Outlook, Sharepoint and MS Teams
    • Ability to manage multiple projects/tasks at one time
    • Strong problem solving and multitasking skills
    • Attention to detail is critical for this role and you will need to be able to work across many projects/tasks at one time
    • Strong communicator able to deal with clients and partners in-person and remotely

    Skills and experience – helpful but not essential

    • Knowledge and experience of Trello, Slack, Indesign/Photoshop, HubSpot
    • Experience for working on Excel spreadsheets and presenting back information in chart format
    • Worked with online training/learning platforms previously
